The Insert Caption function in Word does far more than add static labels—it integrates deeply with document structure.

Go to the References section in the ribbon toolbar and select the Insert Caption option.


This popup lets you pick from preset labels like Figure, Table, or Equation, or define your own unique label name.


After choosing your label, Word applies the next logical number in sequence and lets you insert contextual text following the identifier.


Typing captions manually renders them invisible to Word’s automatic indexing system; always use the official dialog to ensure compatibility.


After inserting captions throughout your document, you can generate a table of figures or a table of tables by placing your cursor where you want the list to appear, then going to References > Insert Table of Figures.


You can customize the list by enabling or disabling specific label categories like Equation, Chart, or Table.
