Ensure your device is capable of both color and grayscale output and has the most up-to-date firmware. Most applications like Microsoft Word or Adobe Acrobat will remember your last selection, so you won’t have to switch every time.


Create saved print templates for efficiency. In Adobe Acrobat, for example, go to Print Dialog > Properties > Save as Preset. Adjust the settings for color or black and white and create a quick-access template. This way you can switch modes instantly without searching through settings.


Train all users on the dual-print system. Create a visual reference poster near the printer explaining W vs. color. This helps prevent unintended ink waste on plain files and encourages responsible printing.


Using this intelligent print setup, you maximize toner longevity, cut monthly supply bills, and still have full color capability when it matters. It’s a simple adjustment with long-term financial benefits.
